Adding children to groups

A key feature of the Children module is how easy and intuitive it is to set up and manage your age-based groups for children and young people, assigning them to groups with ease, but also processing them into their next eligible groups as they get older. Before you can assign children to a group, you will first need to add groups for each of your gatherings - see the related support article: Gatherings and groups for children.

Adding children groups from a child profile page

From the Groups tab of a child's profile, click Add to group.

On the Add to group pop-up, choose the appropriate Gathering. For children with a date of birth, the correct Group for the child is automatically selected based on the group age entry criteria specified for the gathering. For children without a date of birth specified, you will need to manually choose the appropriate group. Click Save.

A child can only be assigned to one group in each gathering, but they can be assigned to multiple gatherings if that's applicable. You can return to the Groups tab of a child's profile at any time in the future to manually Move them to a different group in the same gathering or to Remove the child from a group in a gathering. We've also produced a separate support article on Processing children into new groups as they get older.

Adding children to groups from the group page

You can add children directly to groups in a Gathering. Working within the Groups section of the Children module, click on a gathering Name to open it to view, and then click on a group Name from the list to open the group to view:

From the Children tab for the selected Group click Add member.

On the Add member pop-up, search and select a child's name - multiple children can be added in the same pop-up. You can also search and select by tag to add multiple children. Click Save to add the selected children to the group member list.

If any of the selected children belong to another group in the gathering, they will be moved from that group and added to the selected group - a child can only belong to one group in each gathering.

Finally in this section, note the option to View demographics for the group in View:

A pop-up showing group demographics is shown:

Bulk-adding children to groups

From the Gathering view page, you can select to add multiple children at once to groups in that Gathering. Select the relevant Gathering and click Add children:

The resulting pop-up surfaces a list of all children who meet the criteria for the gathering, sorted by the group they are eligible for. Tick to select the children you wish to add to each suggested group:

Once you close the pop-up, you will see the children surfaced in their relevant groups:

Top Tip! Child Check-In System

When using ChurchSuite's Child Check-In system, checked-in children not already assigned to a group are automatically added to their appropriate group in the active session's Gathering. As long as the child has a date of birth from which their age is derived, ChurchSuite will match the child to the appropriate group.
